  • Overview

    This position is one that is responsible for resolving requests, questions received over the telephone/in person, and coordinating functions of the front desk.  Assist the Director of Life Enrichment and coordinates “outside” entertainment and local activities.

     

    HOURS

    Monday-Friday: 4:00pm-8:00pm

    E/O Weekend 9:00am-4:00pm (30 hours including the weekend hours.)

    Responsibilities

    • Receive incoming phone calls, answer questions, resolve the phone call whenever possible, otherwise transfer to appropriate individual, Screen calls to the marketing office and resolve the call or answer questions.
    • Survey callers that are calling into the marketing office to collect primary market data.
    • Welcome guests and residents who approach the Resident Services Desk and provide assistance as appropriate. Follow protocol for appointments and tours.
    • Make reservations for the guest room and distribute guest room requests to the appropriate departments.
    • Schedule marketing tours and appointments, including confirmation calls and follow-up. Managing and responding to incoming email inquiries.
    • Maintain a "Spotless" Resident Services Desk: stocking an inventory of brochures, magazines etc.
    • Clear counters - no clutter, brochures or magazines.
    • Perform other related duties as directed by the supervisor.
    • Demonstrate strong team orientation by actively participating, supporting and seeking support as appropriate within the context of the marketing team and the larger GSV team.
    • Assist the Administrative Assistant in the Business Office as requested.
    • Assist with requests from the Library Committee, Chaplains, and Volunteer staff.
    • Process credit card, cash and check payments for guest room services etc.

    • Pleasant and cheerful attitude at all times
    • Outstanding telephone communication skills and human relation skills
    • Detailed and articulate. Ability to resolve problems.
    • Computer proficiency is essential and working knowledge of Microsoft Office and CRM software.
