Overview

To serve as the Accounts Payable and Payroll Clerk for Garden Spot Village managing the accounts
payable, disbursements and fixed assets and payroll processing.

Responsibilities

• Act as primary contact for vendor A/P questions preparing new vendor account applications as
   needed.
• Maintain a detailed record of accounts payable processes and reports including vendor files for A/P
   activity by fiscal year.
• Generate annual IRS 1099 report and forms for review and approval by supervisor.
• Maintain detailed fixed asset subsidiary ledger within the accounting system adding and deleting
   assets as needed including tracking of Capital Budget purchases.
• Maintain employee payroll data in accounting system(s) terminating, adding or modifying as
   instructed by Human Resources Director.
• Process bi-weekly payroll gathering approved time and attendance data, generating paychecks or
   direct deposit advices net of required withholdings.
• Generate PR withholding reports according to established laws and reviewing them with supervisor
   for approval and payment.
• Maintain a detailed record of payroll processes and reports by pay period generating all bi-weekly,
   quarterly and annual payroll tax returns and annual IRS Forms W-2.
• Maintain a detailed record of specified general ledger accounts required for monthly, quarterly and
   year end reporting.
• Assist in recording and posting all Cash Receipts in the computer accounting system in the absence
   of the AR/ Accounting clerk.
• Assist in processing month-end closing in the absence of the Controller.
• Assist in various office support functions in the absence of the Administrative Assistant.
• Assist in implementing new computer programs/ processes as needed to improve accounting record
   keeping.
• Abides by current laws and organizational policies and procedures designed and implemented to
   promote an environment which is free of sexual harassment and other forms of illegal discriminatory
   behavior in the workplace.
• Contributes to creating and maintaining a work climate that encourages positive staff morale,
   motivation and commitment to the mission of the organization.
• Attends all mandatory in-service training programs and required meetings.
• Carries out other responsibilities and other tasks as directed by the Chief Financial Officer.
• Come to work as scheduled and consistently demonstrate dependability and punctuality.
• Attends all in-services and training sessions relevant to the position.

 

Job Secondary Functions

Qualifications

• Knowledge of bookkeeping and accounting procedures.
• Data processing experience or education.
• Can identify with and promote the Mission, Philosophy, Corporate Value and goals of the
   organization.
• Proficiency with ten-key.
• Working knowledge of Microsoft Office software.
